Strategies for Managing the Client File

As firms look to deliver solutions for a reasonable cost and develop lawyers as counselors (not just content-providers), advocates (not just process-doers) and professional partners, they bear an increasing obligation to manage a larger volume of information related to the client file. As part of this process, it is critical to understand sources of information, as well as provide the ability to categorize that information in a way that is easily distinguishable for reference and production on request. What technologies exist that can facilitate this process, and what strategies can be employed to ensure that the client file is “complete?"

Retention: It's More Than Just a Records Management Issue

Retention policies should be comprehensive and actionable. Records, IT and administrative departments such as finance/accounting and HR should all work toward developing and supporting a single retention policy for the firm. We cover what should be included in the policy, how to make it happen, getting firm management buy-in, who should be involved in developing and maintaining the policy, IT issues to consider such as e-mail management and system backup, records policy and retention issues that should be considered, how to implement the retention policy as well as the supporting processes to implement for success.

Portal Technology: Alternatives to SharePoint

eSentio Technologies Consultant, Matt Todd, was invited to facilitate the KM Workshop on October 21st which focused on the idea that for KM to continue to grow in law firms, we need to move beyond “traditional” projects and technology initiatives. In addition, Matt brought his KM expertise to a panel discussion at 3:30pm on October 22nd titled "Acting on Opportunity: Can We Escape the KM Ghetto?" which focused on how KM professionals can take the lead in projects that are not “traditional” KM, identify business initiatives in which KM plays a lead or integral role, navigate their firms’ political landscape and help enable new economic models beyond simply providing greater efficiency. 

 

Terry Coan leads ILTA Webinar on on Managing Email - a Records Management Perspective

This session addressed the challenges of managing email as records within the context of the matter lifecycle. Terry discussed the role of email archiving as part of an overall solution, and the options available to manage email.

eSentio chairs the ARK Group's conference on Business Continuity Planning.

eSentio expert, Rob Kerr, was invited to chair this one-day conference which focused on strategic business continuity and disaster recovery topics such as Is Your Firm Prepared for the Next Disaster?, How Experience Impacts Strategy and Planning and Assessing Your Firm’s Current Business Continuity Capabilities.

In addition to acting as conference chair, eSentio joined clients in discussions on the following two crucial topic areas.

How Achievable is High Availability?
Organizations pursuing aggressive Recovery Time Objectives (RTO) and Recovery Point Objectives (RPO) are finding technical, operational and budgetary hurdles difficult to overcome. Rapid RTO/RPO objectives significantly increase cost and complexity of a transition that is anticipated to be relatively seamless. Identifying true capabilities and expectations can be critical to a successful BCP program. Additionally, this type of transition usually spans a long timeframe and requires a careful examination of the BCP strategy at each critical milestone. This case study will present the steps taken by one firm in its quest to achieve true availability through a BCP strategy.

Traditionally, Business Continuity Planning has been viewed singularly as a risk mitigation issue – with interest waxing and waning in the face of the most recent crisis. Nestor Holynskyj, eSentio's Director of Consulting, presented a session on Organizing and Staffing the Law Firm Technology Function to local ILTA members in Milwaukee, WI. This session assessed different approaches and best practices of several leading law firms with regard to how they are staffing and organizing their IT function with a particular focus on the end user and litigation support areas. Attendees talked about what works what doesn't and the latest trends and challenges for organizing and staffing their firm's IT department.

Dave PIlling, eSentio Director of Applications and Development presented a session on The Future of DMS – Developing a Strategy Based on the Needs of the Business to local ILTA members in TorontoI. This session covered the common threads among DMS strategies. Attendees discussed questions regarding where firms are headed. And took a look at the integration and convergence of various legal vertical applications (e.g., DMS, e-mail, records and workflow) and how firms can position themselves to get the best return on their technology dollar. The presentation also spoke to who the new players in the market are and how their offerings compare. Attendees walked away with a better understanding of DMS market offerings, their place in firm’s matter life cycle management and various approaches to managing the process of implementing matter-centricity.

eSentio presented at the CPM 2008 WEST conference in Las Vegas

Scott Kindred, eSentio Senior Consultant, presented the session, A Case Study in the Battle of Data Storage Managementl. This session presented a case study of a major international law firm's experience in changing its disaster recovery methodology from use of a national recovery vendor to an internal consolidation and replication of data storage resources. Attendees learned how they accomplished this change over a two-year period, reducing their recovery time objective from more than 34 hours for critical data to less than four hours. What were the requirements? What were the critical factors? How do you breakdown such a complex project? The case study highlighted the various tasks that were accomplished, the phases they followed and some of the pitfalls they would work to avoid the next time they undertake such a project.

Atlas Lee Gives Keynote Address at the Annual NALS (Association for Legal Professionals) Educational Conference in St. Louis.

Atlas Lee, senior consultant at eSentio, was the keynote speaker Friday, October 12, 2007 at the 56th NALS Education Conference and National Forum, which was held in St. Louis, Missouri. The conference drew over 200 legal industry representatives from all over the US. Mr. Lee's presentation, A Broad Perspective of Contingency Planning and Disaster Preparedness, covered contingency planning, disaster preparedness and response, the people factor of planning efforts, and Pandemic planning. The audience was very receptive and appreciative, and many attendees stated that the presentation revealed a number of issues that they had never considered.

eSentio’s Yvonne Dornic and Bob Dolinsky along with King & Spalding’s Thomas Gaines,  presented a case study to a standing room only crowd at this year’s Interwoven GearUp conference. The session entitled ‘Adopting a Matter-centric Electronic File System and Achieving Wide-Spread Adoption in a Professional Services Firm.’  The group shared best practices and lessons learned from the development and implementation of a comprehensive records policy. The case study also detailed how King & Spalding was able to effect the business process change with attorneys and staff through comprehensive training how these efforts led to wide-spread adoption of electronic matter files using WorkSite 8.

eSentio’s Ken Force Conducts Webinar on SMS
January 19, 2006
Ken Force, a senior consultant with eSentio, conducted an ILTA sponsored Webinar on Thursday, January 19th entitled ‘SMS - Best Practices for Application Packaging and Delivery.’  The presentation provided an overview of SMS including a Best Practices analysis on both packaging and delivery.  The discussion outlined the strengths and weaknesses of SMS and answered questions regarding how it works, what it can do for organizations and why it is useful.  Package building tips included how to get standard file locations from the registry, how to repackage vendor installs, how to use virtual machines for package creation and testing and how to create packages with user specific settings.

eSentio was invited to act as the conference chairfor the Best Practices for Law Firm Management conference hosted by the ARK group in Miami, Florida this year. Bob Dolinsky, eSentio Director presented a session on the Laws of Law Firm Technology Leadership focusing on current trends and the need to align technology planning with firmwide goals. In addition to this presentation, eSentio CEO and President, Yvonne Dornic, had the pleasure of welcoming attendees to the conference and preparing them for the many discussions they would attend over the two days. In addition, Ms. Dornic, also presented a conference wrap-up, summarizing the best practices and lessons learned from the sessions.
